Job Description
Job Purpose:
This position exists to support Senior Manager - Human Resources & Administration to handle onboarding of new joiners, Employee life cycle activities, Health and Wellness activities, Learning & Development, Employee Engagement, Employee Reward and Recognition, Diversity, Equity & Inclusion MIS and reporting for non-JPL business within the limits of Apraava Energy policy framework and guidelines.
Accountabilities and Major Activities
- Onboarding of new joiners
▪ Ensure that the new joinee has a positive experience of the organisation and its culture by way of continuous feedback, catch-ups, induction programs and regular communication.
▪ Announcement email for new joiners
▪ Plan inductions for new joiners, ensure their smooth onboarding and complete their policy inductions.
▪ To create employee record in Organosphere, ensure their system actions are completed, and documentation is completed including T&C documentation.
▪ Ensure initiation and closure of background verification with utmost attention and timelines.
▪ Communication with managers on new joiners joining and induction plans. Curate and send joining announcements.
▪ Close coordination and communication with the IT team for a seamless workflow and onboarding from time to time.
▪ Ensuring all new joiners undergo the VoV workshop (to be organized on quarterly basis)
- Employee life cycle activities
▪ Oversee leave record, attendance, employee shift roster, comp offs and employee transfers. Resolve queries and suggest employees or the manager depending on the policy applicable.
▪ Timely remuneration administration, payroll inputs with accurate and complete details.
▪ PMS coordination, resolving queries, providing help, support with pushing or changing the e-PMS on portal.
▪ SE Drivers salary revision
▪ Corporate Credit Cards are issued and monitored, similarly bank accounts are opened.
- Health and Wellness
▪ Deploy Health and Well-being Initiatives (execution and communication). Launching H&W calendar, conducting H&W sessions, deployment of EAP (Employee Assistance Program) services and tracking usage reports, supporting, one-on-one employee connect and support. Responsible in sending out wellness emails for open webinars and others.
Report and track the session feedback and numbers.
▪ Oversee annual medical check-ups and ensuring a 100% completion of eligible medical checks.
▪ Facilitate Mediclaim administration related to employees, support in closing of claims in case of escalations, especially those at the site locations. Provide guidance and extend support. As a good practice providing e-cards for emergencies. Conduct periodic calls with Insurance Brokers to ensure closure of claims and bring up issues. Provide monthly additions, deletion of data for insurance with appropriate pay details. Timely inputs and clearance of payments to keep the CD balance maintained.
▪ Keep record of cases for future references and suggestions internally.
- Learning & Development
▪ Identifying training programmes, follow up for IDP completion, follow up with consultant and function heads for early closure,
▪ Nomination of employee to external programme
▪ Closing the loop with employee
▪ Updating L&D records,
▪ Collating quarterly reports,
▪ Initiate and follow up feedback forms.
▪ Providing support for organizing various training programmes
- Employee Engagement
▪ Conceptualization, planning and execution of engagement activities.
▪ Annual Employee Engagement calendar to be prepared and followed through
▪ Coordination with cultural committee members
▪ Designing and disseminating effective communication collaterals
▪ Periodic employee connect.
- Employee Reward and Recognition
▪ Familiarize stakeholders with the R&R framework and facilitate the same.
▪ Explore opportunities and avenues for R&R program by reminding managers to nominate or by including these in events.
▪ Completing all administrative requirements related to R&R – record keeping, certificates, speech readiness by managers, etc.
- MIS and Reporting
▪ Provide monthly HSSE Report - HSSE Qualitative input, HSSE Mumbai Manhours for sites.
▪ Contract staff reports for sites.
Educational Qualifications
▪ Minimum education qualification: MBA/ Post Graduate Diploma in Human Resources
